How to Order Propane on Our Website

Ordering propane on our website is a breeze with these simple steps. Just follow along using the screenshots and bullet points provided below.

Step One: Login to your account on our website

To get started on our website:
1. Click on the [Login] button at the top right corner of any page.
2. Enter your username and password.
3. Hit [Login].
If you haven't set up your online account yet:
- Click on the [Login] button at the top right corner of any page.
- Click [Sign Up] and follow the prompts. You'll need your name, email, and customer number. Don't worry if you don't have your customer number handy; just reach out to us at office@caywoodpropane.com or call 800-822-8592.
Not a customer yet? No problem!
- Click [Become a Customer] and fill out the new customer application.

Step Two: Select the [Order Fuel] button

To order fuel:

Click the [Order Fuel] button from the top menu.

Step Three: Choose Location

After clicking the [Order Fuel] button, you'll need to pick a location.
- Usually, customers have just one location.
- If you have multiple locations:
  - Click the down arrow "v" in the delivery address field.
  - Choose the highlighted location for delivery.
  - Double-check that it matches where you want the delivery.

Step Four: Select Tank Level

After picking your location, you'll need to choose your tank level.

We suggest ordering when your tank is between 30-35% full to avoid running low.

Be sure to plan ahead! Will-Call orders are delivered within ten business days, so make sure you have at least that much propane left. Ordering less than that could risk running out.

Here's a heads up on minimums and pricing:

We deliver a minimum of 100 gallons.
Orders under 250 gallons might have an extra charge, depending on the season and supply.
To meet the minimum, your tank should be at 60% or less for a 500-gallon tank (70% for a 1,000-gallon tank).

Step Five: Enter Gallons (or Dollars) and Discount Promo Code

Choose whether you want to order by gallons or dollars (the example shows an order by gallons).

Here's a reminder of our minimum delivery and prices:

To meet the minimum, your tank should be at 60% or less for a 500-gallon tank (70% for a 1,000-gallon tank).

Don't forget to use the promo code "WEB" to get your digital order discount! Your order won't reflect the discount until you type in the code. It works in any combination of lower, upper, or mixed case (e.g., WEB, web, Web, WEb, wEb, weB, or wEB).

After typing in the promo code, click the [Apply Code] button. You'll see a green notification confirming that the promo code was successfully applied, along with the discounted amount.

Step Six: Add Delivery Instructions or Special Notes

Please include any special delivery notes.

Please remember, special notes and instructions must align with our Standard Terms and Conditions. For instance, requesting a rush delivery due to low tank levels won't change our ten business day delivery window. Likewise, noting a tank level at 5% won't alter the delivery window or correct a minimum tank level of 20%.

If there's a chance you might run out of propane during the ten business day delivery window (up to 14 calendar days), it's crucial to contact our office at 800-822-8592 or email us at office@caywoodpropane.com to arrange a special delivery.

Step Seven: Enter Phone Number; Review and Agree to Delivery Policy

Please provide the phone number for any order queries.

Just a heads-up: If you enter a different number than the one on your account, it won't update your records. We might still try to reach you at the number you have on file.

After adding your phone number, click the "Delivery Policy" link to review it. Our Delivery Policy, part of our Standard Terms and Conditions, covers important details about deliveries.

Once you've reviewed, check the box agreeing to the Delivery Policy to proceed with your order. Then hit [Proceed to Payment]. By doing this, you're confirming your agreement, much like signing a document by hand.

Step Eight: Review Fuel Payment Summary

Please double-check your order details, including the delivery location and summary, to ensure everything looks right.

If you don't see the WEB discount applied, simply go back in your order by clicking the [Back to Order] button and enter WEB in the promo code field as explained in Step Five above.

Please remember, on a mobile phone small screen, you may need to scroll down to see the dollar totals in the order summary. If reading the screen on your phone is too difficult, please consider installing and ordering propane with our smartphone app!

Step Nine: Agree to Online Payment Policy and Submit Order

Once you've checked and confirmed your order details and payment info (as explained in Step Eight above), it's time to agree to our online payment policy.
Simply click the hyperlink for the online payment policy and give it a read. It covers important terms and links to our full Standard Terms and Conditions.

It's vital to understand both our Standard Terms and Conditions and the Online Payment Policy. Checking the box agreeing to the Payment Policy and clicking [Submit Order] is like signing your signature by hand under electronic signature laws.

Step Ten: Order Confirmation

Once your fuel order is successfully created, you'll get a confirmation (check out the screenshot to the left).

We'll handle your order according to our Standard Terms and Conditions unless we reach out to you about any issues.

You can print your order by clicking the [Print] button, or simply hit [Done] if you don't need a copy.
