How to Place an Order with Our App

The step-by-step instructions below make ordering propane with the Caywood Propane app easy. Just open your app and follow the instructions using the screen shots an bullet points below.

How to Order Propane with Our Smartphone App
Step One: Login to the Caywood Propane app on your smartphone

- Open the Caywood Propane App on your smartphone
- Enter your username
- Enter your password
- Select [Login]
- If you have not set up your account, then select [Sign Up Instead] and follow the instructions. You will need your name, email address and customer number. If you do not have your customer number handy, please write us at office@caywoodpropane.com or call us at 800-822-8592
- If you are not a customer, please select [Become a Customer] and complete the new customer application
Step Two: Select the [Order Fuel] button

- Select the [Order Fuel] button

Step Three: Choose Location

- After selecting the [Order Fuel] button, you will be prompted to choose a location
- Most customers have only one location
- If you have more than one location:
- Scroll from the list of locations shown at the bottom of the screen on your cell phone
- Select the highlighted location that you want the delivery made to
- Make sure that the location you selected matches the location where you want the delivery to be made
- If you are unsure of the delivery location, please write us at office@caywoodpropane.com or call us at 800-822-8592
Step Four: Select Tank Level

- After selecting the location, you will be prompted to select a tank level
- Recommended time to order:
- We strongly recommend that you place your order when your tank level is at 30 - 35%.
- Will Call orders are subject to a ten business day delivery window. This means you should place on order with at least 10 business (up to 14 calendar) day's supply remaining in your tank. We cannot guarantee that you will not run out of propane if you place an order with less than 10 business (up to 14 calendar) days of propane supply remaining in your tank.
- Minimum delivery volume and prices:
- Our minimum delivery is 100 gallons
- Orders under 250 gallons may (depending on the time of year and supply conditions) be subject to a surcharge
- Here's what our minimum delivery volumes mean:
- Your tank must be at 60% or less to place an order if you have a 500 gallon tank (70% if you have a 1,000 gallon tank) to place the minimum 100 gallon order
- Current prices and applicable surcharges are posted on our Current Prices page of our website.
- If you are not sure how much propane you may use during the 14-day delivery window, or if you are concerned that you may run out of propane during the 10 business day delivery window, please write us at office@caywoodpropane.com or call us at 800-822-8592. You may want to order a special delivery to insure that delivery occurs before you run out of propane.
Step Five: Enter Gallons (or Dollars) and Discount Promo Code

- Select whether you want to order based on gallons or dollars (the illustration shows an order based on gallons)
- As mentioned in Step Four, above, following are the minimum delivery volume and prices:
- Our minimum delivery is 100 gallons
- Orders under 250 gallons may (depending on the time of year and supply conditions) be subject to a surcharge
- Again, as mentioned in Step Four, here's what our minimum delivery volumes mean:
- Your tank must be at 60% or less to place an order if you have a 500 gallon tank (70% if you have a 1,000 gallon tank) to place the minimum 100 gallon order
- Current prices and applicable surcharges are posted on our Current Prices page of our website.
- Make sure you type WEB in the promo code to get the digital order discount. Your order will not reflect the discount unless you type in the promo code. You may use lower, upper or mixed case (e.g., WEB, web, Web, WEb, wEb, weB or wEB). All combinations work.
- Be sure to select the [Apply Code] button after typing in the promo code.
Step Six: Add Delivery Instructions or Special Notes

- Add any special notes for the delivery.
- Please note that special notes and instructions may not vary from our Standard Terms and Conditions. For example, "please rush delivery because my tank level is low" does not alter our ten business day delivery window. Similarly, entering "tank at 5%" does not alter either the ten business day delivery window, nor does it correct the 20% minimum entry for tank level.
- As noted above, it is important that you call our office at 800-822-8592 or write us at office@caywoodpropane.com and make arrangements for a special delivery if there is any risk that you will run out of propane during the ten business day delivery window (up to 14 calendar days).
Step Seven: Enter Phone Number

- Enter the phone number that should be used if we have any questions about your order
- Please note that entering a number that is different from your number on file in your account is not notice of a change in phone number. In addition, we may attempt to contact you at your number on file.
- If the number you enter is different from the number you have on file with us, we recommend that you note that in the comments box for your order (see Step Six above) and, after your order has been completed, change your phone number by selecting the [My Profile] button and scrolling down to the change phone number function in that portion of the app. You also may change your phone number by contacting us at office@caywoodpropane.com or calling us at 800-822-8592.
- Select the [Continue Order] button once you have entered any special instructions and have entered your telephone number.
Step Eight: Review Fuel Payment Summary

- Carefully review the details of your order, including the delivery location and order summary to make sure the delivery amount (whether in gallons or dollars) is what you intended to order.
- If you do not see an amount specified to for the WEB discount, be sure to scroll backward in your order by selecting "< Order Fuel" to move back in the menu, and enter WEB in the promo code field (see Step Five above). Please note that occasionally scrolling backward may close the app. If this occurs, you may have to re-open the app and begin at step one.
- Please note that the order summary may require you to scroll down on your phone to see the dollar totals.
Step Nine: Confirm Fuel Order

- Once you finish reviewing the details of your delivery order, select the "Have you reviewed and verified that all payment information is correct?" so that it is green as shown in the screen shot at the left.
- Please also confirm that the email address is your current email address. If it is not, please enter the correct email address and, after your order is submitted and complete (see below), change your email address by selecting the [My Profile] button or by contacting us at office@caywoodpropane.com or calling us at 800-822-8592.
Step Ten: Agree to Online Payment Policy

- Once you have reviewed and verified your order, and confirmed that all payment information is correct (see Step Nine above), you must agree to the online payment policy.
- The online payment policy is a hyperlink, and we urge you to click that hyperlink and review the online payment policy.
- The online payment policy contains a number of important terms, and makes reference to our full Standard Terms and Conditions, which also are hyperlinked.
- It is important that you read and be familiar with our Standard Terms and Conditions and the Online Payment Policy because selecting the button next to "I agree to the online payment policy" is the same as signing your signature by hand under applicable federal and state laws governing electronic signatures.
- After reviewing the Online Payment Policy and our Standard Terms and Conditions, select the [Back to Payment] button to select the "I agree to the online payment policy,"
Step Eleven: Process Fuel Order

- Once you have reviewed and verified your order, and confirmed that all payment information is correct (see Step Nine above), and agreed to the online payment policy (see Step Ten above), you are ready to process your order.
- To process your order, select the [Process Fuel Order] button.
- Please note that you will not be able to process your order unless both buttons to the left of "Have you reviewed and verified that all the payment information is correct?" and "I agree to the online payment policy" are highlighted in green.
- Once you have completed the verification, agreed to the online payment policy and selected the [Process Fuel Order] button, your order will be processed.
Step Twelve: Order Confirmation

- You will receive a confirmation if your fuel order is created successfully (see screen shot to left).
- We will process your order and schedule delivery consistent with our Standard Terms and Conditions unless we contact you and indicate that there is a problem with your order.

- Will-call digital orders are a convenient way to place orders and save money compared to ordering by phone or in person.
